About the Role
Bentley Systems is seeking an experienced Executive Assistant to provide strategic support to its Chief Marketing Officer (CMO). This position goes beyond traditional administrative responsibilities and focuses on helping a senior executive operate effectively in a fast-moving, global business environment.
The successful candidate will serve as a trusted executive partner responsible for managing priorities, coordinating executive activities, preparing leadership materials, and ensuring the CMO remains focused on the organization’s highest-impact objectives.
Working closely with the Chief of Staff, this role plays a key part in maintaining operational efficiency, supporting executive decision-making, and ensuring leadership activities run smoothly across a global marketing organization.
Key Responsibilities
Executive Support & Preparation
- Manage and maintain the CMO’s calendar and executive commitments
- Prepare briefing materials, meeting agendas, and supporting documentation
- Ensure leadership meetings are well-organized and outcome-focused
- Anticipate information needs and provide proactive support
- Coordinate executive communications and scheduling priorities
- Monitor upcoming commitments and preparation requirements
Strategic Time Management
- Prioritize meetings and activities based on business impact
- Protect executive focus time for strategic planning and decision-making
- Collaborate with leadership teams to align schedules with organizational priorities
- Help optimize executive productivity and operational effectiveness
Leadership Operations
- Coordinate recurring leadership meetings, planning sessions, and executive reviews
- Track action items, commitments, and follow-up responsibilities
- Ensure meeting outcomes and decisions are documented appropriately
- Support ongoing organizational planning activities
Information & Communication Management
- Review incoming requests and determine appropriate prioritization
- Organize information for executive review and decision-making
- Improve clarity and communication across teams and stakeholders
- Maintain confidentiality when handling sensitive information
Travel & Logistics
- Coordinate executive travel arrangements and itineraries
- Manage scheduling across multiple time zones
- Support executive events, leadership forums, and board-related activities
- Ensure contingency planning for important business engagements
Skills & Qualifications
Required Skills
- 7+ years of experience supporting C-level executives
- Experience working in complex corporate or global business environments
- Exceptional calendar management and executive coordination skills
- Strong organizational and project management abilities
- Excellent written and verbal communication skills
- Ability to manage confidential information with discretion
- Strong business judgment and decision-making capabilities
- Experience preparing executive presentations and briefing materials
- Ability to work independently and anticipate leadership needs
- Comfortable supporting executives across multiple time zones
Preferred Qualifications
- Experience supporting senior marketing executives
- Previous partnership experience with a Chief of Staff
- Background working within software, technology, or SaaS organizations
- Advanced proficiency with Microsoft Excel and Salesforce
- Experience utilizing AI-powered productivity and workflow tools
- Strong analytical and information synthesis skills
