About the Role
GM Defense is seeking an Executive Assistant to provide high-level administrative and operational support to senior leaders within a fast-paced and dynamic business environment.
This role is ideal for professionals who excel at organization, communication, and executive coordination. You will help manage schedules, support projects, coordinate meetings, facilitate communication, and ensure executives remain focused on strategic priorities.
The successful candidate will be proactive, highly organized, and comfortable handling multiple priorities while maintaining professionalism and confidentiality. This position offers the opportunity to work closely with leadership teams and contribute to the success of critical business operations.
Key Responsibilities
Executive Support
- Manage complex executive calendars and scheduling priorities
- Coordinate domestic and international travel arrangements
- Organize meetings, appointments, and executive events
- Manage expense reporting and administrative documentation
- Support senior leaders with day-to-day operational needs
Project Coordination
- Assist with project planning and execution activities
- Monitor project timelines and track progress updates
- Coordinate deliverables across multiple stakeholders
- Support leadership teams with project-related communication
- Help ensure deadlines and objectives are achieved
Communication & Documentation
- Prepare presentations, reports, spreadsheets, and business documents
- Draft professional correspondence and executive communications
- Maintain accurate records and documentation
- Handle sensitive and confidential information appropriately
- Serve as a liaison between executives and internal or external stakeholders
Team & Event Support
- Coordinate team meetings, agendas, and action items
- Support internal events, conferences, and leadership activities
- Assist with logistics for global meetings and business engagements
- Collaborate with colleagues across departments and business functions
- Build strong working relationships across the organization
Process Improvement
- Identify opportunities to improve workflows and efficiency
- Recommend solutions that enhance productivity
- Support administrative best practices across teams
- Contribute to operational excellence initiatives
Skills & Qualifications
Required Skills
- Associate’s or Bachelor’s degree
- Minimum 1 year of experience supporting senior leaders or executives
- Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
- Excellent organizational and time-management skills
- Strong written and verbal communication abilities
- Ability to manage multiple priorities simultaneously
- Demonstrated professionalism and discretion when handling confidential information
- Strong attention to detail and accuracy
- Ability to work effectively in a fast-paced environment
- U.S. citizenship required
Preferred Qualifications
- Experience supporting executives within technology, engineering, or corporate environments
- Experience coordinating large meetings, conferences, or company events
- Familiarity with expense management platforms such as Concur
- Administrative support certifications or professional training
- Experience supporting distributed or global teams
- Strong project coordination experience
