About the Office

The Office of Printing and Document Services within the Secretary of the Senate plays a vital role in ensuring timely access to legislative documents and essential printed materials. It provides high-quality printing, document handling, and distribution support to the Senate, government agencies, and the public while upholding the highest standards of accuracy, efficiency, and customer service.

Role Overview

The Printing and Document Specialist is responsible for facilitating the production, distribution, and accessibility of legislative documents. This includes responding to inquiries, delivering documents to Senate offices and government institutions, managing printing needs, and assisting in office operations. The role requires sound judgment, physical mobility, and the ability to maintain strict adherence to Senate protocols.

Key Responsibilities

Legislative Document Support

  • Research and fulfill inquiries from Congressional staff, government agencies, and the public regarding legislative materials.
  • Retrieve and deliver bills, calendars, and related documentation to Senate staff and designated offices.
  • Track shortages, report additional printing needs, and ensure materials are distributed promptly.

Document and Printing Operations

  • Enter legislative records into the Printed Legislation Inventory System (PLIS).
  • Coordinate with the Government Publishing Office (GPO) for Senate printing requirements.
  • Review proofs, update files, and obtain approvals from Senate offices.
  • Process billing for outside transcription services and manage requisition requests.

Transportation & Delivery Services

  • Serve as a driver for deliveries to key government agencies, including the White House, State Department, and National Archives.
  • Support document distribution across Senate offices, including calendars, records, and daily publications.

Office & Special Project Support

  • Provide occasional coverage for the Executive Office, including phone and office management tasks.
  • Assist in initiatives, special projects, and Senate events.
  • Maintain readiness in accordance with the Emergency Action Plan (EAP) and Continuity of Operations (COOP).

Candidate Profile

Education & Experience

  • High school diploma or GED required.
  • One to three years of relevant experience preferred.

Skills & Abilities

  • Knowledge of the legislative process and related research services.
  • Ability to operate a motor vehicle safely (valid driver’s license required).
  • Proficiency in computer applications and data entry systems.
  • Strong customer service orientation with the ability to work diplomatically.
  • Effective oral and written communication skills.
  • Physical ability to lift to 25 pounds and retrieve documents from high storage shelves.
