Role Summary
The Deputy Assistant to the CEO plays a critical role within the CEO Office, which operates in a highly dynamic and globally complex environment. The position supports the Executive Assistant to the CEO while also working closely with the CEO’s Business Advisor and, when required, directly with the CEO. The role demands precision, discretion, and proactive administrative excellence to ensure seamless daily operations at the highest level of leadership.
Core Responsibility Areas
1. Executive and Administrative Support
The role delivers efficient, accurate, and confidential administrative and secretarial support across the CEO’s Office. It involves handling sensitive matters with integrity while maintaining exceptional service standards.
2. Calendar and Priority Management
The Deputy Assistant works closely with the Executive Assistant to manage complex calendars, coordinate access to senior leaders, and help optimise the CEO’s time in a fast-changing environment.
3. Travel and Logistics Coordination
The position manages detailed travel logistics, including flights, rail, visas, accommodation, and ground transport. It also supports events, hospitality, catering, and IT requirements with cost and business efficiency in mind.
4. Continuity and Operational Coverage
During the Executive Assistant’s absence, the role assumes full responsibility for ongoing administrative activities to ensure uninterrupted support.
5. Information and Systems Management
The role supports document and information workflows using platforms such as DocuSign, SharePoint, Diligent, and internal record management systems. Timely submission of expenses, gifts, and hospitality entries is also required.
6. Global Stakeholder Coordination
The position maintains a strong global network of administrative colleagues to support the CEO’s needs across regions, cultures, and time zones.
Ideal Candidate Profile
The ideal candidate brings proven experience supporting senior or executive-level leadership in complex corporate environments. They demonstrate independence, adaptability, and strong collaboration skills while thriving under pressure and in the face of frequent change. A professional presence, attention to detail, and a proactive mindset are essential.
Education and Experience
Relevant experience in executive administrative or secretarial roles is required. Exposure to global or cross-cultural organisations and multiple time zones is essential for success in this role.
Key Skills and Competencies
The candidate demonstrates excellent written and verbal English communication skills and interacts confidently with senior stakeholders. They demonstrate maturity, discretion, and diplomacy when handling confidential information. Strong time management, organisational skills, and the ability to prioritise competing demands are critical. Advanced proficiency in Microsoft Office, Outlook Calendar, Teams, Concur, SharePoint, Diligent, and corporate travel systems is expected.
