Use AR or VR for remote training only when immersion, spatial guidance or safe repetition solves a problem that video, documentation or desktop simulation cannot solve as well. AR is often better when a worker must see the real environment while receiving overlays or remote-expert guidance; VR can fit repeatable practice inside a simulated environment. Start with a small accessible pilot and measure performance, not novelty.

Choose the problem before the headset

Training technology should follow a task analysis. Ask what learners must do differently, which errors matter, where practice is unsafe or expensive, and what evidence will show improvement. A headset meeting has little value if the real problem is unclear facilitation. A simple screen recording can outperform XR for linear software instructions.

XR is more plausible when spatial memory, embodied practice, remote expert annotation, rare equipment or hazardous scenarios are central. It is less compelling when learners mainly read, write, take notes or switch frequently between desktop applications.

AR-versus-VR decision aid

Choose AR when the learner must remain aware of physical equipment, follow overlaid steps or share a first-person view with a remote expert. Choose VR when the physical setting should be replaced, a dangerous or expensive scenario must be repeated, or multiple learners need a consistent simulation. Choose desktop/mobile when access, text entry, multitasking or broad reach matters more than spatial immersion.

Do not force one mode on every learner. Offer an equivalent route when motion sickness, vision, hearing, mobility, neurodiversity, device fit or caregiving circumstances make a headset unsuitable.

Pilot scorecard

Define a baseline and success threshold before procurement. Measure task accuracy, time, safety-critical errors, retention after a delay, confidence calibrated against performance, completion rate, support tickets and learner accessibility. Include setup, cleaning, device management, content maintenance and facilitator time in cost.

A useful pilot compares XR with the current method, not with no training. Use enough realistic scenarios to expose failure modes. Collect qualitative feedback, but do not treat enjoyment as proof of learning.

  4. Minimize collected spatial, biometric, voice and performance data.
  5. Define retention, deletion, access and vendor-support responsibilities.
  6. Train facilitators, run a limited pilot and compare outcomes.
  7. Scale only if benefits remain after total cost and support are counted.

Privacy, security and worker trust

XR systems can capture rooms, movement, voice, gaze or performance. Treat spatial sharing as potentially sensitive. Involve privacy, security, legal, accessibility and worker representatives before deployment. Tell participants what is collected, why, who can see it and how long it remains. Avoid hidden productivity scoring and do not infer emotion or capability from weak signals.

For collaborative AR, limit remote experts to necessary views and annotations. For VR, provide safe physical boundaries, breaks and procedures for discomfort. Vendor claims should be tested against the organization’s own network and device environment.
