What the Role Involves
The Proposal Coordinator plays a crucial role in ensuring the smooth execution of proposal processes across multiple time zones and departments. Working under minimal supervision, this individual will deliver timely, accurate, and high-quality documents aligned with sponsor expectations and organizational strategies.
Primary Responsibilities
1. Cross-Functional Collaboration
- Operates across various teams and global time zones to complete proposal deliverables efficiently.
- Supports both internal and external opportunity management discussions involving pricing, resources, and process timelines.
2. Documentation & Data Management
- Prepares standardized proposal documents under changing deadlines.
- Performs data entry in corporate systems accurately and on time.
- Contributes to the internal content library by updating or submitting new content using official processes.
3. Analytical & Reporting Support
- Utilizes strong data analytics and Microsoft Excel expertise to manage project data.
- Assists with management-facing reports and presentations related to ongoing opportunities.
4. Process Improvement & Quality Control
- Participates in process enhancement initiatives and supports implementation.
- Conducts quality checks to ensure compliance with company and sponsor requirements.
5. Client & Relationship Management
- Aids in maintaining and strengthening client relationships through responsive communication and attention to detail.
- Supports the preparation and coordination of meetings with clients and internal stakeholders.
Skills & Competencies
- Strong analytical mindset with proven problem-solving ability.
- Excellent customer service and communication skills.
- Advanced knowledge of MS Office (especially Excel, Word, and Outlook).
- Experience with Salesforce, Qvidian, or other proposal management tools is an advantage.
- Demonstrated ability to work independently and meet deadlines.
- High attention to detail with strong writing and text-editing skills.
- Ability to work flexible hours when required to meet client deadlines.
Education & Experience
- Bachelor’s degree in a related field or equivalent work experience.
- Minimum 2 years of experience in budgeting, contract preparation, or business support roles.
