Role Overview

The Payroll Analyst will manage the end-to-end payroll process for multiple European entities, ensuring timely and accurate payments while maintaining compliance with all statutory regulations. The role also involves collaborating with various internal teams and external vendors to streamline payroll operations and support related HR initiatives. This is a remote position, with occasional presence at the Warsaw office as required.

Main Responsibilities

Payroll Management

  • Oversee full payroll processes for multiple European entities on a monthly cycle.
  • Collate and transmit payroll inputs, review outputs, and provide primary approvals with the outsourced payroll vendor.
  • Ensure accurate and timely statutory reporting to Tax, Social Security authorities, pensions, and other regulatory bodies.

Cross-Functional Collaboration

  • Work closely with Finance to resolve accounting issues, with the Reward Team to implement benefit programs, and with the Internal Tax Team and Global Payroll Manager to align with best practices.
  • Liaise with stakeholders such as Onboarding, HR, IT, HR Ops, and third-party providers to improve processes and efficiency.

Compliance & Reporting

  • Support monthly tax submissions, year-end tax reviews, and payroll audits.
  • Report annual RSU awards, stock options, and grants via payroll, reconciling to source documents from the Equity Team.
  • Assist in compliance tasks such as Short Term Business Visitor reporting, A1 compliance, and new payroll setups.

Employee Support

  • Respond to employee payroll queries within established service-level agreements.
  • Proactively suggest process improvements and contribute to ad hoc projects as required.

Candidate Background

Education & Experience

  • Strong experience in processing European payrolls.
  • Proven ability to meet multiple deadlines with accuracy and attention to detail.
  • Experience working with outsourced payroll vendors and on payroll-related projects.

Skills & Competencies

  • Excellent time management, organizational skills, and high customer focus.
  • Strong communication skills and a proactive approach to problem-solving.
  • Ability to maintain SOP documentation and drive process improvements.
  • Intermediate Excel skills, including VLOOKUP and PivotTables.
  • Natural curiosity to challenge the status quo and willingness to support team members.
