This isn’t your standard “schedule meetings and answer emails” role. This is for someone who genuinely enjoys making things run smoothly. Who takes pride in being five steps ahead. Who can book international travel, coordinate with household staff, manage personal finances, and still remember their executive’s mother’s birthday.

The client I’m recruiting for is a global entrepreneur with multiple business interests, a young family, and a calendar that would make most people cry. They need someone who can bring order to the chaos and operate with complete discretion.

What You’ll Actually Do Day to Day

Let me paint you a picture of what this role looks like in practice:

  • Complex calendar and inbox management. Not just scheduling, but triaging. Understanding what matters, what can wait, and what needs immediate attention. You’ll learn to think like your executive so you can make decisions without constant direction.

  • Travel orchestration. International flights, multiple time zones, visas, ground transportation, accommodations—all while accounting for personal preferences and last-minute changes. If you’ve never booked a trip involving three countries and a private car service, you’ll learn fast.

  • Personal errands and lifestyle management. Booking dinner reservations. Coordinating home repairs. Ordering gifts for family members. Scheduling personal appointments. The line between “professional” and “personal” doesn’t exist here—you support the whole person.

  • Communication gatekeeping. Drafting emails, screening calls, and handling correspondence with the right tone and professionalism. You’ll be the first impression for many people reaching out to your executive.

  • Light project work. Researching vendors, comparing options for personal purchases, helping plan events, and occasionally diving into business-related tasks when things get busy.

  • Household coordination. Liaising with property managers, nannies, chefs, or other household staff to ensure everything runs smoothly on the home front.

You’re probably the person friends and family rely on to plan things. The one who remembers birthdays and follows up when people forget commitments. You’re calm under pressure, and you’ve been told more than once that you’re “scarily organized.”

You also understand the weight of discretion. You’ll see things—personal emails, financial details, family matters—that aren’t for anyone else. That trust is the foundation of this relationship.

What You’ll Need to Succeed

  • 3+ years of experience supporting a busy professional, executive, or family. This could be as a Personal Assistant, Executive Assistant, or similar role. What matters is the proven ability to handle complexity.

  • You should have systems. You should know how you track tasks, manage priorities, and ensure nothing falls through the cracks.

  • You’ll draft emails and messages that represent your executive. Grammar matters. Tone matters. Polish matters.

  • You’ll use Google Workspace or Microsoft 365, calendar tools, travel booking platforms, and potentially project management software. You don’t need to be an engineer, but you shouldn’t fear learning new tools.

  • The best assistants don’t wait to be told. They see what needs doing and do it. They notice patterns. They anticipate needs.

  • Supporting a global executive means things happen across time zones. You won’t be working 24/7, but you’ll need to be responsive when things come up.

  • This isn’t a checkbox. It’s the entire foundation of the role. References will be checked, and trust is paramount.

In six months, you’ll know your executive’s preferences without being told. You’ll anticipate travel needs before they arise. You’ll have built systems that make both of your lives easier. Your executive will wonder how they ever managed without you.
