Norwegian Cruise Line is seeking an Onboarding Administrator to join their team in Miami, FL. The Onboarding Administrator will be responsible for assisting and guiding all shipboard candidates through the initial documentation process required for onboard employment. This role ensures compliance with US Coast Guard and Company policies and protocols, maintains adequate manning levels, and oversees the gathering, reviewing, and filing of all candidate documentation. Additionally, the administrator is responsible for data entry of candidate information into the Success Factors applicant tracking system.
Responsibilities:
- Maintain and update applicant information and status for all new hire candidates throughout the pre-employment process in Success Factors.
- Review applicant documents provided by recruiters and candidates, including passports, birth certificates, state licenses.
- Prepare onboarding folders for each new hire candidate, ensuring the security of sensitive information.
- Send required applications and authorization letters via DocuSign to new hire candidates for completion.
- Request background checks for new hire candidates.
- Arrange medical appointments for new hire candidates.
- Collect and verify that all documentation for new hire candidates is complete and valid.
- Set up completed new hire candidates for training.
- Manage personal and departmental inboxes daily to ensure timely responses to emails.
- Work closely with the medical department to ensure all potential crew members meet USCG regulations and physical requirements for shipboard employment.
- Coordinate with Assignment Specialist to ensure the pipeline of applicants meets the upcoming needs of the vessels.
- Perform other job-related functions as assigned.
Qualifications:
- High School Diploma
- 1 year experience in business/administrative roles.
- Six months experience working with candidates’ personal information and appointment setting is preferred.
- Cruise line experience is strongly preferred, specifically as it relates to staffing and dealing with large crew movement.
Competencies/Skills:
- Excellent interpersonal and organizational skills.
- Ability to meet deadlines and manage high-volume new hire processing in a fast-paced environment.
- Strong written and verbal English communication skills for effective interaction with new hire candidates and ship/shore side team members.
- Ability to communicate effectively with individuals from diverse cultural backgrounds.
- Proficiency in Microsoft Office Suite, with a focus on Outlook, Word, and Excel.
- Ability to shift priorities based on scheduling and business demands.
- Capability to work autonomously with minimal supervision.
- Ability to handle and maintain confidential information.
