Are you a highly organized professional who excels at creating order, optimizing workflows, and supporting team productivity? WorkinVirtual is partnering with a rapidly scaling international company to find a meticulous Office Administrator to serve as the central pillar of their daily remote operations. This is a critical role where you will ensure the seamless functioning of a fully distributed team, enabling focus and efficiency across all departments.

You will leverage modern business productivity software and SaaS management tools to handle administrative tasks, provide high-level support to leadership, and optimize internal workflows. Your work will directly enhance team cohesion, operational clarity, and support a positive, productive company culture in a digital workspace.

Key Responsibilities: Coordinate, Manage, and Streamline

  • Provide comprehensive executive support to leadership, including managing complex calendars, scheduling cross-time-zone meetings, arranging travel, and preparing materials for high-level presentations.

  • Serve as the primary point of contact for vendors and manage the company’s portfolio of SaaS subscriptions and software licenses, ensuring cost-effectiveness, timely renewals, and optimal utilization.

  • Identify opportunities for workflow optimization within the remote environment. Develop and maintain clear Standard Operating Procedures (SOPs) for key administrative and operational tasks.

  • Act as the central communication point for the remote team. Distribute company-wide updates, manage internal newsletters, and help organize virtual team-building and culture events.

  • Assist in preparing reports, managing data within Google Workspace and Microsoft 365, and maintaining organized digital filing systems for company documents and records.

  • Play a key role in the virtual employee lifecycle, from preparing offer letters and system access for new hires to managing the logistical offboarding process.

Required Skills & Qualifications

  • 3+ years of experience in an Office Administrator, Executive Assistant, or similar administrative role, preferably in a remote or hybrid setting.

  • High proficiency with business productivity suites like Google Workspace (Gmail, Docs, Calendar) and Microsoft 365 (Outlook, Excel, Word, PowerPoint).

  • Experience managing SaaS tools, vendor relationships, and subscription-based services.

  • Exceptional organizational, time-management, and written communication skills, with a proactive approach to problem-solving.

  • Ability to handle sensitive information with discretion and work autonomously in a fast-paced, remote work environment.

  • An Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
