About the Role: Architecting Efficiency in a Distributed World
Are you a master of organization who thrives on creating order from chaos? WorkinVirtual is partnering with a leading digital organization to find a systematic Task Manager to design and implement efficient workflows for their global, remote team.
This is a strategic role that sits at the intersection of operations, technology, and human productivity. You will be the architect of our client’s task management ecosystem, leveraging cutting-edge productivity software and workflow automation tools to streamline operations, eliminate bottlenecks, and ensure seamless execution across all departments. Your work will directly impact team velocity, project success, and overall organizational health.
Key Responsibilities: Systemize, Streamline, and Synchronize

Task Management System Administration: Own and optimize the company’s core task management software (e.g., Asana, ClickUp, Monday.com), configuring workspaces, automations, and templates to maximize team efficiency.

Workflow Design & Automation: Analyze existing processes to identify inefficiencies. Design, document, and implement streamlined workflows, leveraging built-in automation to reduce manual, repetitive tasks.

Cross-Functional Coordination:Â Act as the central hub for task coordination, ensuring clarity on priorities, deadlines, and dependencies between different teams and projects.

Performance Monitoring & Reporting: Track key productivity metrics and generate regular reports on task completion rates, project timelines, and team bandwidth to provide data-driven insights to leadership.

Tool Integration & Management:Â Manage the integration between the task management platform and other critical business tools (e.g., Slack, Google Workspace, CRM) to create a cohesive digital workspace.

Training & Support:Â Serve as the in-house expert, training new and existing team members on best practices for using the task management system and championing a culture of clarity and accountability.
Required Skills & Qualifications

3+ years of experience in an operations, project coordination, or dedicated task management role, preferably in a remote setting.

Expert-level proficiency with at least one major task management platform such as Asana, ClickUp, Monday.com, or Jira.

Proven experience in process optimization and designing efficient workflows.

Strong analytical skills with the ability to interpret data and translate it into actionable improvements.

Exceptional communication and facilitation skills, with the ability to coordinate across different time zones and cultures.
